This guide is intended for the following uses:
- For campus partners to be able to record and send topic-specific informational videos to NSTP for Advising & Orientation (A&O).
- For orientation leaders to record and send their welcome/intro video to NSTP for A&O.
- As a general guide for how to record and share videos with the NSTP office.
Before starting your Zoom meeting:
- Enable cloud recording under the "Recording" section in your zoom settings.
- After enabling cloud recording in your zoom settings, select the following checkboxes under "Cloud recording settings" to enable:
- Zoom Meeting
- Record active speaker with shared screen
- Record gallery view with shared screen
- Record active speaker, gallery view and shared screen separately
- Active speaker
- Gallery view
- Shared screen
- Record audio-only files
- Record one audio file for all participants
- Then select the following checkboxes under under “Advanced cloud recording settings” to enable:
- Display participants' names in the recording
- Record thumbnails when sharing
- Optimize the recording for 3rd party video editor
- Create audio transcript
- Save closed caption as a VTT file
- Please make sure you do not have “Add a timestamp to the recording” selected as this cannot be removed after recording
- Select "Save"
- Lastly, enable “Viewers can see the transcript”
ADA compliance tips:
- When recording a video for A&O, YOU are the human screenreader. Therefore you must verbally describe all content on every slide, this includes describing graphics and images.
- If it’s important enough to put on the slide, it’s important enough to describe it to the audience.
- Audit and practice your content BEFORE recording, this presentation style will likely require some adjustments to your standard presenting style.
- Audiences should be able to review and understand content with/without sight and with/without sound.

Once you start your Zoom meeting:
- Turn on auto captions, but don't have them appear on screen.
- Rename yourself to reflect your preferred name, pronouns, and department.
- Once you are ready and all presenters are present go ahead and start the recording.
- Click “record” at the bottom of your zoom screen and then click “record to the cloud”
After your meeting:
- Access your cloud recordings on Zoom
- Find the recording and click the “share” button
- When you click “share” you will get a pop up
- Click “share settings” on pop up
- Ensure that the “who can view” dropdown is set to “current UW faculty, students, and staff”
- Watch the zoom recording with captions to check for errors, take note of the time stamp where errors occur, and edits to be made for those errors.
- Copy the shareable link
- Send an email to uwao@uw.edu including the shareable link and any errors with their time stamp and edits to be fixed for the captions.
